OPEN POSITION – Executive Assistant to CEO


Overview of Position:

The Executive Assistant assists the President and the Chief Executive Officer (CEO). Will periodically assist the Development Department. The Executive Assistant acts as a liaison to the executive office, Executive Committee, the Board of Directors, the Membership Department, and staff. He/she is responsible for ensuring a smooth flow of work and activities within Assistance League of Los Angeles.

Essential Job Responsibilities:

  • Schedules meetings, calls, and appointments and maintains the calendars of the President and the CEO
  • Writes, drafts, and edits correspondence, reports, contracts and other documents for the CEO
  • Oversees arrangements for all meetings chaired by the President and the CEO, including the Annual meeting
  • Takes, transcribes, and distributes minutes of Board and other meetings as directed by the President or the CEO
  • Maintains secretary files for Board minutes, Conflict of Interest and all other Board agreement files
  • Assists in the revision of membership handbooks, bylaws, and other documents
  • Coordinates mailings, creates forms, and maintains records and other documents as directed
  • Cordially assists members, staff, volunteers and visitors as needed
  • Maintains files, answers phones, and provides administrative support to President and CEO
  • Assists the Development Officer and provides support for Development activities as directed
  • Provides or oversees smooth coordination with all League activities
  • Performs any and all other duties as assigned, including reception

Education and Experience:

  • Bachelor’s degree strongly preferred
  • Previous experience as an executive assistant or executive secretary supporting senior-level executives and Board of Directors required
  • Minimum three-years of experience working in a similar capacity, preferably at a non-profit organization required
  • In lieu of degree, minimum eight-years of experience working in a similar capacity at a non-profit organization required

  • Ability and desire to provide all levels of administrative and secretarial support, including taking accurate, detailed shorthand or fast notes, scheduling meetings, answering phones and performing routine administrative/secretarial duties
  • Highly proficient with Microsoft Office Suite, Outlook, database input and management (Donor Perfect preferred), internet applications and research, and social media
  • Must possess excellent organizational and communications skills
  • Ability to organize tasks efficiently, meet deadlines and perform an array of duties in a fluid environment, both independently and as a team member
  • Ability to work flexible hours depending upon Supervisors’ schedules and requirements of the position.

Salary Range:

Commensurate with experience
