Job Opening – Development & Membership Database Manager

Overview of Position:

Employee will work closely with the Director of Development, Corporate & Community Outreach Director and other staff as needed. This position is of critical importance to supporting effective operations and promoting successful fundraising, outreach and member sustainment/recruitment. He/she will be the primary staff person responsible for the operation and accuracy of the League’s database and must be able to execute full-scale projects, from administrative tasks to decision-making. Accordingly, the Development & Membership Information Coordinator will ensure the integrity of donor and member data by (1) entering all gifts in a timely and thorough manner, (2) generating reports for current and historical analysis, and (3) proactively identifying, recommending and implementing League-wide and data management improvements.

Essential Job Responsibilities:

Database Management

  • Input all donations and all dues payments into League database on an ongoing basis and ensure accuracy of information
  • Inputs new constituents in DonorPerfect with appropriate coding.
  • Coordinate with the Director of Membership & Community Outreach on managing and tracking all membership and renewal activities including new member, renewal, and potential members
  • Coordinate with the Director of Development on managing all major gifts, Corporate and Foundation contacts within the database system
  • Manages all online donation and membership forms in DonorPerfect
  • Manages and tracks all background checks of program volunteers
  • Create reports as requested by supervisors, senior staff and board members
  • Pulls all mailing and email lists for Membership and Development
  • Maintain database expertise to optimize useful information management

 

Accounting Practices

  • Conduct regular reconciliation (at least bi-monthly) between database records with Accounting Department records; update and correct as needed
  • Maintains hard copy and electronic donor files in accordance to institutional needs, donor privacy policy and financial compliance
  • Performs all processing steps, in a timely manner, related to daily gift entry through entering, posting, maintaining accurate constituent record information and printing acknowledgement letters. Ensures all mailed donations are verified and entered into the database. Must be familiar with running credit cards through a payment processing system.

 

Administrative Tasks

  • Optimize database for fundraising and membership mailing efforts; including merging, proofing, printing and preparing donor and member acknowledgements on a weekly basis
  • Coordinate and project-manage membership renewal activities including merging and printing membership renewal letters, membership renewal forms, and preparing tax acknowledgement letters during membership renewal season
  • Coordinate and project-manage annual fundraising mailings including managing all lists, merging and printing all labels and updating the database as necessary

 

Trend Assessment and Recommendation Presentation

  • Present analytically-based recommendations to promote advancement and membership department goals
  • Assess current data management practices and recommend/implement improvements
  • Discern and document relationships between organizations, donors, current members and their personal/professional networks; conduct online research as needed

 

Other Support:

  • Manage event tracking including guest lists, RSVP information and attendance
  • Provide day-of event support for League special events including assisting with onsite special event payment verification, cash handling, and other special event support tasks as needed
  • Coordinate mailings, create forms and maintain records and other documents as directed
  • Performs any and all other duties as assigned

 

Education and Experience:

  • Bachelor’s degree preferred. Education requirement may be waived in lieu of four years relevant experience in a similar role
  • At least three years of experience in either database management or Development/Membership support in nonprofit, business or similar professional environment, knowledge of standard Development practices preferred
  • Proficiency with data management application (e.g., DonorPerfect, Salesforce.com, Raisers Edge) or similar software. Strong skills in Microsoft Office suite

  • Possess ability to effectively and succinctly communicate complex information to a diverse audience
  • Maintains ongoing proactive and supportive communication with supervisors, volunteers and staff
  • Possess exceptional attention to detail as to ensure accuracy of reports
  • Possess strong interpersonal skills to strengthen and maintain effective relationships with members and stakeholders
  • Possess strong organizational, interpersonal, and communications skills
  • Ability to work flexible hours, including some weekend and evenings, depending upon League requirements

 

Salary Range:

Commensurate with experience
